How to Choose a School Health Service Provider in India: 12 Questions to Ask
Lists of the "best school health checkup companies" rarely tell a school what it needs to know. These 12 questions help principals and trustees compare providers on what actually matters.

Why a list of "best" companies is not enough
Search for school health checkup companies in India and you will find many lists ranking providers, often written by the providers themselves. A ranking cannot tell you whether a provider suits your campus, your board, your enrolment or your budget. The better approach is to ask every shortlisted provider the same questions and compare the answers in writing.
The 12 questions below cover the areas where school health services most often go wrong: unclear scope, weak follow-up, privacy gaps, staffing changes and hidden costs. Use them for a checkup, a school nurse, a counsellor or a full programme.
1. Who will examine our students, and who supervises them?
Ask for the qualifications of every professional who will work on campus — doctors, nurses, dentists, optometrists, counsellors — and who supervises them clinically. A good provider names the roles, the minimum qualification for each and the person responsible for clinical quality. Ask whether staff are verified before deployment, including background checks for work with children.
2. What exactly is included in each service?
"Complete health checkup" means different things to different providers. Ask for a written list of every screening station or service, the age groups it covers and what is not included. For a nurse or counsellor, ask for the hours per day, days per week and the duties covered. Comparing quotations is only fair when the scope is the same.
3. How do you handle consent and privacy?
Ask how parents are informed before screening, how consent is collected and what happens when a parent declines. Ask who can see individual results, how examinations are conducted for older children and whether a teacher is present for younger ones. Results should be shared with families privately, and the school should receive aggregate summaries rather than lists of named children with medical details.
4. When will reports arrive, and what will they look like?
Ask for a sample parent report and a sample school summary. A useful report separates normal findings from follow-up items and explains each in plain language. Ask how long reports take after the camp, how parents receive them and whether they are available in the languages your families use.
5. What happens after a concern is found?
Screening only helps if flagged concerns are followed up. Ask how families are told what to do next, whether referrals name the type of specialist, and whether the provider helps the school track which families have acted. Ask what happens to the follow-up list at the next year's checkup.
6. What is the emergency escalation path?
For a nurse or clinic service, ask for the written process for emergencies: who assesses the child, when a doctor is consulted, when an ambulance is called, who accompanies the child and when parents are told. Ask how the nurse is supported by a doctor and how nearby hospitals are identified for your campus.
7. What happens when your staff are on leave?
Staffing continuity matters for nurses and counsellors in particular. Ask how leave, illness and resignations are covered, how quickly a replacement is provided, and whether the replacement will have the same qualifications. Get the answer in the contract rather than as a verbal assurance.
8. How are digital records stored and protected?
Student health data is sensitive personal data about children. Ask where records are stored, who can access them, how access is controlled and how long data is kept. Ask how the provider approaches its obligations under India's Digital Personal Data Protection Act, 2023, and what happens to records if the contract ends.
9. Can we speak to schools like ours?
Ask for references from schools with a similar board, size and setting — day or boarding, single campus or group. Speak to them directly about reliability, reports and follow-up. Be cautious of testimonials that cannot be verified, and of figures that are not supported by records.
10. What is the full price, including GST and travel?
Ask for a written quotation that shows the per-student or monthly price, applicable GST, travel and accommodation for outstation teams, and charges for additional students, stations or repeat visits. A low headline price can hide significant extras. Our article on what schools actually pay explains the common components of a school health checkup quotation.
11. Can you support our board and compliance documentation?
Ask what documentation the provider supplies to support board requirements and inspections, such as health records, summaries and infirmary registers. A provider can support your documentation; it cannot certify compliance on behalf of a board or authority. Be wary of any provider that claims otherwise.
12. How do you coordinate across several campuses?
For school groups, ask how the provider schedules multiple campuses, keeps the same standard of screening, and combines reporting for management while each campus keeps its own records. Ask who your single point of contact will be.
Putting the answers side by side
Send all 12 questions to each shortlisted provider and ask for written answers with a sample report and a full quotation. The provider that answers clearly, in writing, on scope, follow-up, privacy and price is usually a safer choice than the one with the most confident marketing.
- Same scope in every quotation
- Named qualifications and supervision
- Written consent, privacy and escalation processes
- Sample parent report and school summary
- Full price including GST and travel
- References you can contact

Frequently asked questions
- What should a school ask a health service provider?
- Ask about clinical qualifications and supervision, exact scope, consent and privacy, report format and timing, follow-up, emergency escalation, staffing continuity, data protection, references, full pricing, compliance documentation and multi-campus coordination.
- Should we choose the cheapest school health checkup?
- Compare quotations only when the scope is the same, and check that GST, travel and follow-up are included. The lowest headline price is not always the lowest total cost.
