Why organised health records matter for a school
Student health records are more than a filing requirement; they are the institutional memory that lets a school respond quickly in an emergency, track a child's growth over the years, and show parents that findings from checkups are not forgotten the moment the report is handed over. A school that cannot quickly answer basic questions like a student's known allergies or last recorded BMI during an emergency is at a real disadvantage.
CBSE's affiliation guidelines under Clause 14.6 touch on health and medical checkups as part of a school's expected responsibilities, and maintaining proper records is a natural extension of carrying those checkups out in the first place. A checkup without a record that persists beyond the day it happens loses most of its long-term value.
Choosing between paper and digital record-keeping
Many schools still rely on paper health cards stored in a student's admission file, which works at a small scale but becomes difficult to manage as student numbers grow into the hundreds or thousands. Paper records are also harder to search, easy to lose, and inconvenient to share quickly with a parent or a doctor during an emergency.
Digital health records solve most of these problems by making a student's history searchable, backed up and accessible to authorised staff from any device. The transition does not need to happen overnight — many schools start by digitising annual checkup reports while keeping other documentation on paper, and expand digital coverage over time as staff become comfortable with the system.
What a good record-keeping system should capture
At a minimum, a student health record should include identification details, a history of checkup dates and findings, any known allergies or chronic conditions shared by the family, immunisation information where available, and notes on any referrals made and whether the family followed up. Keeping all of this in one place, rather than scattered across different forms and years, is what makes the record genuinely useful.
It also helps to record screening results using a consistent scale or format year over year, so a teacher or nurse can see at a glance whether a measurement like BMI or vision has changed meaningfully since the last checkup, rather than comparing numbers that were recorded in different formats by different people.
Privacy, access and consent
Health records contain sensitive personal information about minors, so schools need clear rules about who can access them, under what circumstances, and how long records are retained. A reasonable starting point is to limit access to the school nurse, designated health coordinator and senior administration, and to require parental consent before sharing records with any third party outside the school.
Schools should also be transparent with parents about how health data is collected, stored and used, including whether a digital vendor is involved in processing it. This transparency builds trust and reduces the chance of misunderstandings when a record needs to be shared, for example with a new school during a transfer.
